## How to edit your profile — name, email, avatar

You edit your personal details on the Account tab of Settings:

1. Click your avatar at the bottom of the sidebar and choose Account.
2. Under Profile details, edit your Name, Surname, Email or Phone, then click Save.
3. To change your picture, click Upload and pick an image (JPEG, PNG or WebP, up to 5 MB). A progress bar shows while it uploads, and the new picture applies right away.
4. To go back to your initials, click Remove.

Your avatar and name appear across the app: in member lists, comments, assignee pickers, and presence indicators.

## Settings overview — the tabs and how to reach them

The Settings page groups your personal preferences into tabs:

- Account: profile details, avatar, language, timezone and job title.
- Notifications: which notifications you receive, and on which channel.
- Memories: the assistant's saved memories about you.
- Security: two-factor authentication, backup codes, sessions, and password.
- Activity: your account activity feed.
- Connections: link the assistant to services you use, such as Outlook, Gmail and Notion.
- Privacy & Legal: terms and privacy documents.

To get there, click your avatar at the bottom of the sidebar — the account menu opens the Account, Notifications, Security, Activity and Privacy & Legal tabs directly. For Memories and Connections, open Settings and pick the tab. You can also type a tab's name in the search bar in the header (Ctrl+K or ⌘K) — for example "memories" or "connectors" — and open it from the Pages results. Settings are personal and need no project permission; they apply to your account across all projects.

## Account tab — language, timezone and job title

The Account tab holds your basic account preferences:

- Your avatar, and your Profile details: Name, Surname, Email and Phone.
- Language: choose the language the app uses for you. It applies to the app, the assistant's replies and your emails. Content written by your team (issue titles, document names, statuses defined by your project) stays exactly as it was written.
- Timezone: used for local times in the assistant and in reminders.
- Job title: tells the assistant who it is talking to, so answers fit your role.

Click Save to apply your changes. They are personal — they affect only your account, not anyone else.

At the bottom, the Danger zone has Delete account. It is permanent, and asks you to type your email address to confirm.

## How to switch between light and dark mode

The theme toggle lives in the header, available on every page:

1. Click the theme mode button in the header.
2. Choose Light, Dark, or System.

System follows your operating system's appearance automatically. Your choice is remembered on this device. There is also a colour-mode selector on the sign-in screen, so you can pick your theme before signing in.

## Notifications tab — choose what you get notified about

The Notifications tab lists every notification type you can receive — for example review decisions, planner reminders, issue assignments, tracker alerts, and export results.

Each type has two switches:
- In-app: shows the notification under the bell icon in the header.
- Email: also sends it to your account email address.

Toggle each channel on or off per type; changes apply immediately and affect only your own notifications, in every project. You can jump here quickly via the settings shortcut inside the bell menu.

## Memories tab — what assistant memories are

The assistant can remember facts and preferences to give you better answers — for example how you like reports formatted, or context about your work. The Memories tab lets you see and manage everything it has remembered about you.

Memories come in two scopes:
- Global: applies whenever you talk to the assistant, in any project.
- Project: applies only when you are working in that specific project.

You are always in control: every memory is visible here, and you can edit or delete any of them.

## How to add, edit, or delete assistant memories

On the Memories tab in Settings:

1. Pick the scope — Global (all projects) or a specific Project.
2. Add a new memory by writing what the assistant should remember.
3. Edit an existing memory to correct or refine it.
4. Delete a memory to make the assistant forget it.

These are your personal memories. Team-wide memories — shared context every member's assistant should know about the project — are managed separately in Project settings (Team memories card) by people with the `projects.memories.edit` permission or the project owner.

## How to set up two-factor authentication with an authenticator app (TOTP)

Two-factor authentication adds a second check at sign-in, protecting your account even if your password leaks.

To enable the authenticator-app method:
1. Go to Settings, Security tab.
2. Start the authenticator (TOTP) setup — a QR code appears.
3. Scan the QR code with your authenticator app (Google Authenticator, Authy, 1Password, and similar apps all work).
4. Enter the 6-digit code from the app to confirm.

Once enabled, the Security tab shows since when it has been active, and sign-in asks for a code from your app. Save your backup codes when offered — they are your way in if you lose the phone.

If you enter 5 wrong codes, verification is locked for 15 minutes and you see "Too many failed attempts". Wait for the time shown, then try again with a fresh code.

## Email codes as a two-factor method (Email OTP)

Besides an authenticator app, you can use one-time codes sent to your email as a two-factor method:

1. Go to Settings, Security tab.
2. Enable the Email OTP method.

At sign-in you can then choose to receive a code by email and enter it to finish signing in. You can disable the method again from the same tab. If you have both methods enabled, the sign-in screen lets you pick which one to use.

The same safety limit applies here: 5 wrong codes lock verification for 15 minutes.

## Backup codes — save them, they are shown only once

Backup codes are single-use codes that let you sign in when you cannot use your usual two-factor method (lost phone, no email access).

On the Security tab you can see how many backup codes you have left and regenerate a fresh set.

Important:
- Codes are shown ONCE, right when generated — copy them and store them somewhere safe (a password manager is ideal). You cannot view them again later.
- Each code works one time only.
- Regenerating replaces all previous codes — old ones stop working immediately.

## How to disable two-factor authentication

1. Go to Settings, Security tab.
2. Find the two-factor method you want to turn off — authenticator app (TOTP) or Email OTP.
3. Use its disable action and confirm.

After disabling, sign-in goes back to email and password only (or your remaining method, if you had two). For account safety, consider keeping at least one two-factor method enabled.

## Sessions — see where you are signed in and sign devices out

The Sessions list on the Security tab shows every device and browser where your account is currently signed in.

To sign out a device remotely, click Revoke next to its session — that device is signed out immediately.

Use this if you forgot to sign out on a shared computer or notice a session you do not recognise. If you see anything suspicious, revoke the session and change your password right away.

## How to change your password

1. Click your avatar at the bottom of the sidebar and choose Security.
2. Scroll to the Change password card.
3. Type your New password, then type it again under Confirm new password. It needs at least 8 characters, with upper and lower case letters and a number.
4. Click Update password. Use the new one next time you sign in.

Pick a strong, unique password you do not use elsewhere. If you cannot sign in because you forgot your password, use "Forgot your password?" on the sign-in screen instead — that sends a reset link to your email.

## Activity tab — your account activity feed

The Activity tab shows a feed of recent activity on your account, so you can review what has been happening.

Check it if you want to verify recent actions or spot anything you do not recognise. If something looks wrong, review your Sessions on the Security tab, revoke anything unfamiliar, and change your password.

## Connections tab — link Outlook, Gmail, Notion and your own servers

The Connections tab is where you connect the assistant to services you use: Outlook mail, Outlook Calendar, Gmail, Notion, and your own servers. Click Connect on a service, sign in on the service's own page, and you come back with it connected.

Connections are yours only — they are tied to your account, not to a project, and nobody else can use them. Sending an email or a meeting invitation always asks for your approval first.

See the Connections help topics for step-by-step guides: connecting each service, what the assistant can do with it, approvals, removing or reconnecting, and troubleshooting.

## Privacy & Legal tab — terms and privacy

The Privacy & Legal tab gives you access to the legal documents that apply to your account: the Terms of Service and the Privacy Policy.

They are also available without signing in at the public legal pages linked from the sign-up form.
