What are invites

Invites are secure links or codes used to add people to a project. Each invite carries a project role and an expiration date, and can be revoked at any time before it is used.

Every invite is made for one email address and works once. It comes with both an invite link and an 8-character code, and either one gets the person in: they open the link, or they type the code on the Join project page. There is no shared code for the whole project.

Who can invite members

Creating and managing invites requires the members.invite permission — held by Project Admins by default; the project owner can always invite. Project members without that permission cannot create, list or revoke invites, except that whoever sent an invite can always revoke it.

The project also needs an active subscription: without one the Invite members button is disabled, and its tooltip tells you a subscription is needed.

If you cannot see the Invites page or the Invite members button, ask a project admin to send the invite or to adjust your role.

How to create targeted invites

From the project's Invites page (or the Invite members button on the Project and Members pages):

  1. Enter one or more email addresses (press Enter, comma, or space after each).
  2. Choose the project role the invited people will get.
  3. Set an expiration in days — 7 days unless you change it. In the Invite members dialog this field is under Advanced.
  4. Click Create invites (Send invites in the dialog).

An invite link and code is generated for each email address, and each person is emailed their link and code automatically. Requires the members.invite permission.

Tracking invites — the Active only switch

The Invites page lists all invites for the project with their status: Active, Used, Revoked, or Expired.

The "Active only" switch hides everything except invites that can still be used — handy for a quick audit of who can currently join. It is on when you open the page; turn it off to see used, revoked and expired invites too.

Revoke one invite or all of them

  • To revoke a single invite, click Revoke next to it.
  • To revoke every active invite at once, use Revoke all — you can add a reason, which is kept for the record.

Revoked invites stop working immediately and cannot be used again. Revoking an invite does not remove people who already joined — manage those on the Members page.

Accepting an invite

Opening an invite link shows a preview with the role you will get, the email address the invite is restricted to (partly hidden) and when it expires.

  • If you are already signed in, click Accept invite — you join the project and it becomes your active project right away.
  • If you are not signed in, you are asked to sign in or create an account first. The invite is remembered in that browser and accepted automatically right after you sign in, so you land in the project without hunting for the link again. With a new account, confirm your email first, then sign in in the same browser.

You must be signed in with the email address the invite was sent to. It makes no difference whether that address already had an account or not.

Joining with an 8-character code

If someone gave you a join code instead of a link:

  1. Open the Join project page — from the project picker choose "Join project", or use the Join-a-project button on the welcome page.
  2. Type the 8-character code — one box per character, and the cursor advances automatically as you type. You can also paste the whole code.
  3. You join the project and the app switches to it immediately.

The code belongs to your invite, so it only works while you are signed in with the email address the invite was sent to. Codes use capital letters and digits and never contain the letters I or O or the digits 0 or 1.

If the code is rejected, check for typos and ask the sender whether the invite is still active. After too many failed attempts you are asked to wait before trying again.

Invite restrictions and errors

Common cases when an invite cannot be accepted:

  • Expired: the invite is past its expiry date.
  • Revoked: an admin revoked the invite.
  • Used: the invite was already accepted.
  • Email mismatch: the invite is restricted to a specific email address; sign in with that account.
  • Unverified email: confirm your email address before accepting.

When you open the link of an invite that is expired, revoked or already used, the page only says the invite was not found or is no longer valid — it does not say which.

For an expired, revoked or used invite, ask a project admin for a fresh one.

When creating invites, you can be refused because the project has reached the member limit of its plan, or because too many invites were created for the project in one day.

Invite acceptance troubleshooting

If you cannot accept an invite:

  • Confirm you are signed in with the invited email address (invites can be restricted to one email).
  • Verify your email if prompted.
  • If the link says the invite was not found or is no longer valid, it has expired, been revoked or already been used — ask the sender which.
  • If you are already a project member, just open the project from the project picker.
  • With a join code, re-check every character for typos.

When in doubt, ask a project admin to generate a fresh invite.

Best practices for inviting

  • Every invite is tied to one email address, so check the spelling — it must be the address the person signs in with.
  • Pick the least-powerful role that fits the person's work — you can raise it later on the Members page.
  • Set a reasonable expiration window and revoke invites that are no longer needed.
  • Use the Active only switch periodically to audit outstanding invites.
  • Share links and codes only with the intended recipients.
